Terms & Conditions, Refunds, and Participant Declaration

These terms & conditions apply to purchases made through the Cotswold Whisky Club via our website, including event tickets and physical or digital products, unless otherwise stated.

1. Event Tickets – Booking & Cancellation Policy

1.1 Booking Confirmation

All event bookings are confirmed once payment has been received. Your confirmation email acts as proof of purchase and entry.

1.2 Refunds & Cancellations

We understand that plans can change. Our event refund policy is as follows:

  • More than 7 days before the event: Full refund available.

  • Within 7 days of the event: 50% refund of the ticket price.

  • Within 24 hours of the event, or non-attendance: Refund unavailable.

Refunds are processed to the original payment method where possible. Processing times may vary depending on your payment provider.

1.3 Ticket transfers

Tickets may be transferred to another attendee with prior notice, provided the replacement attendee meets all participation requirements (including legal drinking age). Please contact us in advance to arrange this.

2. Participant Waiver & Declaration (Events only)

By purchasing a ticket and/or attending one of our whisky tasting events, you confirm and agree to the following:

I confirm that I am of legal drinking age and that I am participating voluntarily in this whisky tasting event. I understand that the consumption of alcohol carries inherent risks, including impaired judgement, coordination, and decision-making, and that tasting multiple whiskies may increase intoxication even in small quantities.

I confirm that I do not have any medical conditions, allergies, or sensitivities, and I am not taking any medication, that would make alcohol consumption unsafe for me. I agree to drink responsibly, at my own pace, and to follow all instructions and safety guidance provided by event staff.

I acknowledge that I am responsible for arranging safe transport after the event and will not drive or operate machinery after consuming alcohol.

To the fullest extent permitted by law, I accept personal responsibility for my participation and release the event organiser, its staff, contractors, venue partners, and affiliates from liability arising from my participation, except where caused by negligence or breach of statutory duty.

3. Photography & Media Consent (Events only)

Photography or video recording may take place during events.

Please indicate your preference at checkout or on the day:

☐ I do not consent to the use of my image.

You may change or withdraw your consent at any time by contacting us.

4. Data Protection & Privacy

We collect and process personal data in accordance with UK GDPR and applicable data protection legislation.

  • Data is used solely for event administration, safety, legal compliance, and customer service.

  • We do not sell or share personal data for third-party marketing.

  • Event-related personal data is securely retained for no longer than six (6) months after the event date, after which it is securely deleted.

5. Products (Non-event purchases)

5.1 Returns & Refunds (Products only)

Our standard product refund policy applies to physical and digital goods excluding event tickets.

  • Perishable or consumable goods

  • Refunds are available within 30 days of purchase for unused, non-perishable items in their original condition.

  • Certain items are non-returnable, including:

    • Gift cards

    • Downloadable digital products

    • Perishable or consumable goods

5.2 Refund processing

Once a return is approved, refunds will be issued to the original payment method. Processing times may vary depending on your bank or card provider.

5.3 Shipping returns

To return your product, you should mail your product to: {physical address}.

You will be responsible for paying for your own shipping costs for returning your item. Shipping costs are non-refundable. If you receive a refund, the cost of return shipping will be deducted from your refund.

Depending on where you live, the time it may take for your exchanged product to reach you may vary.

If you are returning more expensive items, you may consider using a trackable shipping service or purchasing shipping insurance. We don’t guarantee that we will receive your returned item.

6. Payment method

We accept online card payments, and where offered, bank transfer or cash payment by prior arrangement. All payments must be completed in line with the instructions provided at checkout.
